Adding & Changing Proposals

Orders and Proposals may be accessed through the Admin User menu options or the Account Mgr/Rep menu options.

TUTORIAL

Select the Admin User or Account Mgr/Reps menu option. The Browse window will drop down and appear.

1.[Insert] button allows you to add a new proposal record.
2.[Change] button allows you to edit an existing proposal record.
3.[Delete] button allows you to delete an existing propsal.
4.[Copy] button allows you to copy the current selected or highlighted record. (See Copying an Existing Proposal)

 

TIP: To use the 'Key-in SEARCH' feature the scroll bar or highlight bar must be active (you should see a dotted frame around the bar). To make the scroll bar active, just point and click on any record in the browse window.

To Add or Insert a Proposal, Select the INSERT button the Proposal Editor Window will open.

TIP: For Help or Tips 'right click' on any of the Window components.

Enter a Proposal Name (up to 15 characters) on the GENERAL tab.
Touch the ‘TAB’ key to advance to the next field.
Complete all of the necessary fields on the GENERAL tab.
Select the SETUP AND ADJUSTMENTS tab.
oEnter a valid Tax Code. Enter ‘?’ to select from your Tax table.
oEnter a valid Lot Code.
oEnter a valid Lease Code.
oEnter a valid Over-time Code. N = no over-time charges.
oIs plenum cable required? Select Yes or No.
oMay existing cable be used? Select Yes or No.
oIs a telephone company feed cable required? Select Yes or No.
o‘Notes’ appear on Customer documentation. Enter a valid note to the Customer or for the Proposal.
o‘Special Instructions’ also appear on most default documentation.
Select the Agreement Information tab.
oEnter the Agreement information as desired.

Select the MATERIAL AND LABOR tab.

Select a Price and/or discount strategy, discount per item or discount per proposal, which is the default setting. Discounting is an either or choice and may not coexist.

 

ADDING ITEMS TO A PROPOSAL

Enter a valid quantity and item number. A lookup inventory procedure window will open an you must enter an valid item number so you can search for a valid item and select from the inventory table.

TIP! If the item does not exist, you must add the new item through the Inventory Editor (you must have supervisor status) or through Phonebizz or Quickbooks if you are using one of these programs. If you add a new item in Phonebizz or Quickbooks you must IMPORT it into CRMworx©.

System Ports - Identify what the item provides. For example a station card (PCB) provides 8 digital/electronic station ports.
Cabinet Slots – Does the item provide or require a slot? For example a cabinet (CAB) may provide 6 slots for PCBs or a PCB may require a slot.

TIP! The program will count or keep track of the total number of ports, slots and types of devices if you enter the appropriate quantity for each item entered.

Type – Identify what type of component is being entered.

Comments – Enter an annotation for this item or if the 'item' has been entered/setup as a 'configured component for auto-filling' the comments will be automatically added.

Row #: You can edit the row number if you wish to change the order of appearance.

You must select the [ ] Use Item Discount option on the Proposal screen to activate the Item Discount fields.

Select the OK button to add/save this item.

Repeat the sequences above to add additional items. You may enter an unlimited number of items and all reports and documents will adjust to the number of items entered for an individual proposal.

 

The Lease Options TAB is should to compute additional lease options that may be printed separately.
The Options TAB is should to identify items/options that may be offered separately, but these items are not computed into the Proposal record, nor do these items affect the Lease Options.
Select the TRADE-IN tab and enter TRADE-IN items if applicable.
Select the OK button to save the proposal data.
